Introduction

At AEclipse, accessible from www.aeclipse.nl, one of our main priorities is the privacy of our visitors. This Privacy Policy document contains types of information that is collected and recorded by AEclipse and how we use it.
If you have additional questions or require more information about our Privacy Policy, do not hesitate to contact us. 

General Data Protection Regulation (GDPR)

We are a Data Controller of your information.
AEclipse’s legal basis for collecting and using the personal information described in this Privacy Policy depends on the personal information we collect and the specific context in which we collect the information, namely:

  • You have signed a contract with AEclipse

  • You have given AEclipse your permission to process the data that you provide us with

  • When processing your personal information is in AEclipse legitimate interests

  • AEclipse needs to comply with the law

AEclipse will retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your information to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our policies.
If you are a resident of the European Economic Area (EEA), you have certain data protection rights. If you wish to be informed what personal information we hold about you and if you want it to be removed from our systems, please contact us. Log Files

AEclipse follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and a part of hosting services' analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users' movement on the website, and gathering demographic information.

Cookies and Web Beacons

Like any other website, AEclipse uses 'cookies'. These cookies are used to store information including visitors' preferences, and the pages on the website that the visitor accessed or visited. The information is used to optimize the users' experience by customizing our web page content based on visitors' browser type and/or other information.

Third Party Privacy Policies

AEclipse's Privacy Policy does not apply to other advertisers or websites. Thus, we are advising you to consult the respective Privacy Policies of these third-party ad servers for more detailed information. It may include their practices and instructions about how to opt-out of certain options.
You can choose to disable cookies through your individual browser options. To know more detailed information about cookie management with specific web browsers, it can be found at the browsers' respective websites.

Use of your personal data

AEclipse may use personal data for the following purposes:

  • To provide and maintain our service, including to monitor the usage of our service.

  • To manage your account: To manage your registration as a user of the service. The personal data you provide can give you access to different functionalities of the service that are available to you as a registered user.

  • For the performance of a contract: the development, compliance and undertaking of the purchase contract for the products, items or services you have purchased or of any other contract with us through the service.

  • To contact you: To contact you by email, telephone calls, or other equivalent forms of electronic communication, products or contracted services, including the security updates, when necessary or reasonable for their implementation.

  • To provide you with news, special offers and general information about other goods, services and events which we offer that are similar to those that you have already purchased or enquired about unless you have opted not to receive such information.

  • To send promotional materials or gifts to your given address with prior notice. 

  • To manage your requests: To attend and manage your requests to us.

  • For other purposes: We may use your information for other purposes, such as data analysis, identifying usage trends, determining the effectiveness of our promotional campaigns and to evaluate and improve our service, products, services, marketing and your experience.

We may share your personal information in the following situations:

  • With service providers: We may share your personal information with service providers to monitor and analyze the use of our service, to contact you. AEclipse uses Mailchimp in order to manage emails to its members. We may share your contact information with Mailchimp for this purpose. This information is subject to the privacy policy of Mailchimp and Intuit Inc.

  • With university: We may share your information with the university to present our activities. 

  • With business partners: We may share your information with our business partners to offer you certain products, services or promotions.

  • With your consent: We may disclose your personal information for any other purpose with your consent.

Retention of your personal data

AEclipse will retain your personal data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your personal data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies. We will collect your personal data from the point you provide it to us up until you notify us about their deletion. Upon termination of your membership, you have the right to request deletion of your data. Unless you do so, it will be used to inform you about our future alumni events since you will be one of our alumni. 
AEclipse will also retain usage data for internal analysis purposes. Usage data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of our service, or we are legally obligated to retain this data for longer time periods.

Children's information

Another part of our priority is adding protection for children while using the internet. We encourage parents and guardians to observe, participate in, and/or monitor and guide their online activity.
AEclipse does not knowingly collect any Personal Identifiable Information from children under the age of 13. If you think that your child provided this kind of information on our website, we strongly encourage you to contact us immediately and we will do our best efforts to promptly remove such information from our records.

Online privacy policy

Our Privacy Policy applies only to the activities we provide and is valid for visitors to our website with regards to the information that they shared and/or collect in AEclipse. This policy is applicable under the same principles to any information collected offline or via channels other than this website.

Consent

By using our website and services or by becoming a member of our association, you hereby consent to our Privacy Policy and agree to its terms.

Events

a) AEclipse applies a penalty policy for company workshops, the Economist Day, active participation in the National Economics Olympiad, the City Trip, the Brussels Trip and the International Research Project. 

i) By signing up for one of the above-mentioned events, you agree to this penalty policy and commit yourself to participation. 

ii) AEclipse determines whether you have met the criteria that apply to this penalty policy. If this is the case, you agree to pay the resulting penalty fee. 

iii) This penalty policy only applies to company workshops, the Economist Day, the Brussels Trip and active participation in the National Economics Olympiad. 

(1) The terms defined below are not applicable to the City Trip and the International Research Project since these events have their own individual penalty policy which is subject to annual change.

iv) The penalty policy works as follows:

(1) In case of cancellation at least 2 working days before the day the event takes place, you will not be fined. Note: only cancellations that are made before 19:00 are approved. 
(2) In case of cancellation 2 working days before the day the event takes place but after 19:00, you will be charged a fine of €6. 
(3) In case of a no-show, without cancellation, you will be charged a fine of €12. 
(4) Cancellation is only possible by sending an email to info@aeclipse.nl

v) By agreeing to this penalty policy, you authorize AEclipse to automatically withdraw the penalty fine from your bank account that you filled in on the application form. 
vi) Exceptions apply to medical emergencies with proof. 
vii) At least two weeks beforehand, you will be informed about the possible debt collection. 
viii) If you do not unsubscribe in time, your personal details will be shared with the participating companies. 
ix) AEclipse cannot be held responsible for the consequences the aforementioned actions might have on a potential application procedure at the participating companies. 
x) In case of unforeseen circumstances resulting in absence at the activity, you should contact AEclipse within 14 days from the day your activity took place. AEclipse will look into your case and will decide whether the penalty fine still applies. 

b) For the above-mentioned events, AEclipse uses a blacklist policy. 

i) By signing up for events, you agree to this blacklist policy and commit yourself to participation. 
ii) If you fail to show up at two events in a row, or at three or more events over the course of three months, you will be put on the blacklist and you will be denied access to future events for a period of 1 year. 
iii) In case of unforeseen circumstances resulting in absence at the activity, you should contact AEclipse within 14 days from the day your activity took place. AEclipse will look into your case and will decide whether the blacklist policy still applies. 

c) Participants’ travel costs that arise because of the attendance at an event organized by AEclipse will not be reimbursed. 
d)
During events, pictures and/or films of the participants may be made. The media may be uploaded to the social media and communication channels of AEclipse, which are: Instagram, Facebook, Unilife, Mailchimp, YouTube, and LinkedIn. Additionally, the media could be used in future brochures and/or flyers. Furthermore, the media could be uploaded to the website: www.aeclipse.nl. You can ask AEclipse to remove a picture/video frame by sending a mail to info@aeclipse.nl. AEclipse may also share event photos with the companies involved in the event. 
e) AEclipse is not liable for any loss, theft or damage of whatever nature, to anything in possession of participants of activities/services of AEclipse. Furthermore, AEclipse is also not liable for any indirect loss, theft or damage of no/not in time/not right performance of AEclipse. 
f) AEclipse is not liable for any damage personally occurred through AEclipse merchandise. 
g) AEclipse is only accountable when it is proven that a direct mistake has been made by AEclipse following its obligation by the terms and conditions. 

h) AEclipse may share documents and personal information of the participants with the partnering company organizing the event. This may be in the case of application procedures. In this case, the data protection regulations of our partners apply.
